CONFIDENTIALITY AGREEMENT
Parties:
This Confidentiality Agreement (“Agreement”) has been signed between [MINIASOFT BİLGİ TEKNOLOJLERİ SANAYİ TİCARET LİMİTED ŞİRKETİ], [BARBAROS MAH. ŞEBBOY SK. NO: 4/1 INTERIOR DOOR NO: 2 ATAŞEHİR/İSTANBUL] (“Company” or “We”) and the user (“User” or “You”) who uses the docuhab application and agrees with the Company on the processing, storage and security of personal data.
1. PRIVACY POLICY
As a company, we attach great importance to the security and confidentiality of the personal data of people using the docuhab application. This Agreement clearly sets out how we will collect, use, store and secure your personal data.
2. PERSONAL DATA COLLECTED
The Company may collect and process the following personal data when using the docuhab application:
Name and Surname: Required for user account creation and user verification.
Email Address: Used to contact the user and provide information about the service.
IP Address: The IP addresses that users access over the internet can be used for security and application usage analysis.
Browser Information: It can be used to collect data about users' web browsers, improve user experience and ensure security.
OCR Processes and Data Usage: Within the scope of the OCR (Optical Character Recognition) feature of the application, the processed data is temporarily processed on our servers and configured to be deleted after the process is completed. We continue our development efforts in order not to receive user data at all.
In addition, we may work with third-party service providers to perform OCR operations faster and with better performance. The data storage, deletion and processing policies of these third-party services may differ from our policies. Therefore, we do not accept responsibility for how user data is processed by third parties.
3. PURPOSE OF DATA COLLECTION
Personal data is collected through the docuhab application for the following purposes:
To perform user verification,
Providing services to the user (including OCR operations),
Sending updates and notifications to the user about the service,
Analyzing app usage to improve user experience,
Fulfill legal obligations and ensure security.
4. SECURITY OF YOUR DATA
The Company will take all necessary technical and administrative measures to protect users' personal data. Reasonable security measures will be taken to store user data securely and to prevent unauthorized access, loss, alteration and misuse.
5. SHARING YOUR DATA
The Company does not share users' personal data with third parties except for legal obligations and service provision purposes. However, your personal data may be shared in the following cases:
In case of transfer or merger of the Company: If the Company merges, acquires or enters into any other agreement with a third party, user data may be shared with the new company. In this case, detailed information on the use and security of user data will be provided.
Sharing with service providers: The Company may perform some of its services with third party service providers. These service providers may process your personal data only for the purpose of providing the specified services.
Legal obligations: In the event of a legal requirement, court order or request by government authorities, your personal data may be shared with the relevant institutions.
6. OCR TRANSACTIONS AND YOUR DATA
During the OCR process, the documents you upload via the docuhab app are processed only by the user and stored on the user device. During the OCR process, the company has access to the content of the documents until the end of the process, when they are completely deleted from the server. Users are fully responsible for the content of the documents they upload.
No guarantee is given for low quality documents: OCR can only provide accurate results for certain file formats (JPG/JPEG and PNG) and documents of sufficient quality. OCR is not guaranteed for documents with poor scan quality, corrupted or unreadable documents.
Disclaimer and Recommendation for Use: Based on the ‘OCR Processes and Data Usage’ article mentioned above, we recommend that users do not subject sensitive content that may target themselves, their companies, families, defence industry or national security to OCR processes. No responsibility is accepted for any security risk, data leakage or damage that may arise as a result of processing such content. Users accept in advance that they act under their own responsibility when using this service.
7. PROCESSING AND STORAGE OF YOUR DATA
Data Processing: Personal data provided by users are processed only for the purposes specified. Data will be used for purposes such as user account verification, credit check and OCR processing.
Data Retention: Personal data may be retained in line with legal obligations, contractual requirements or user request. However, user data is not stored unnecessarily and is always kept up to date.
8. USER RIGHTS
Users have the following rights regarding their personal data:
Right to Access Data: Users may request access to their personal data. They have the right to receive information about the content, use and storage period of the data.
Right to Data Correction: Users may request correction of inaccurate or incomplete data.
Right to Data Deletion: Users may request the deletion of their personal data under certain conditions. However, some data may continue to be stored due to legal obligations.
Right to Restrict Data Processing: Users may request that the processing of their personal data be limited.
Right to Data Portability: Users may wish to move their personal data to another provider.
9. COOKIE POLICY
The docuhab application may use cookies to improve the user experience. Cookies are small data files stored on users' devices. Users have the right to accept or reject cookies.
10. CHANGES AND UPDATES
The Company reserves the right to make changes to this confidentiality agreement. Changes will be announced through the docuhab application and will be effective from the date of publication of such changes.
11. COMPETENT COURT
Any disputes arising out of this Confidentiality Agreement shall be resolved by the Courts and Enforcement Offices of Istanbul.
12. EFFECTIVE DATE OF THE AGREEMENT
The User is deemed to have accepted this Confidentiality Agreement by electronically approving it. This agreement is valid from the date of approval.
